Exient Trade Company Ltd. is looking for an organised and pro-active Office Administrator to join our team, based in our studio in Malta at the Valletta Waterfront. In this role, the selected candidate will be ensuring the smooth operation of the facilities. The position is being offered on a part-time basis of around 20 hours per week, preferably mornings.

Roles & Duties

Whilst reporting to the Studio Director, the selected candidate will be organising office operations and procedures as well as scheduling meetings and appointments. S/he will be assisting in the onboarding of new employees, maintaining and updating office policies and addressing employees’ queries.

The chosen candidate will be handling facility management including liaising with vendors, including cleaning, catering and security services and planning in-house or off-site activities, like parties, celebrations and conferences. S/he will be maintaining master corporate calendar and developing and carrying out an efficient documentation and filing system for both paper and electronic records.

Skills & Expertise

The ideal candidate will have a minimum of two years’ experience in an administrative position. Candidates applying for this position will have excellent knowledge of office management systems and procedures and have excellent verbal and written English. Discretion is essential for this position as the chosen person will be handling personal and confidential information. S/he will be able to multitask and prioritise the workload. The chosen candidate will be organised, pro-active and able to adapt to changing situations.
